Booking Policy

1. What this Policy Covers
This Booking Policy applies to merchant orders placed through the VegeBuddy app that include a scheduled pickup or delivery slot with a partner merchant — for example, food orders booked for a specific time, or mart (grocery) orders booked for a specific delivery window.
Casual community gatherings (e.g. group meals, sports, or social meetups organised by users) are not covered by this policy — they involve no booking, no payment, and no merchant fulfilment, and are governed only by our community guidelines in the Terms of Service.
2. Merchant Order Bookings (Pickup & Delivery Slots)
When a merchant offers a scheduled pickup or delivery slot:
- Slot confirmation: the slot is confirmed only after the merchant accepts the order. We will notify you in-app and by email/push.
- Modifications: you may request a slot change before the merchant begins preparation. Once preparation has started, changes are at the merchant’s discretion.
- Late arrival for pickup: please collect within the slot. Items unclaimed for an extended period may be discarded for hygiene reasons; refunds for unclaimed items are subject to our Refund Policy.
- Failed delivery: if the rider cannot reach you after reasonable attempts, the order may be returned to the merchant. Re-delivery, refund or partial refund will be handled per the Refund Policy.
3. Cancellations
Cancellation rules for paid bookings follow our Refund Policy. In short:
- Before merchant accepts: free cancellation, full refund
- After merchant accepts: cancellation only by mutual agreement; refund at our discretion
4. Capacity, Availability & Pricing
Slot availability, item availability and pricing are set by partner merchants and may change without notice. We display the most recent merchant-provided information at the moment of booking. The price you confirm at checkout is the price you pay.
5. Force Majeure
If a booking cannot be fulfilled due to events outside our or the merchant’s reasonable control (severe weather, road closures, government action, system outage, etc.), we will offer rescheduling or a full refund.
