Workshop Host Terms

Who We Are and What These Terms Cover

These Workshop Host Terms apply when you list and run workshops through Workshops on VegeBuddy as a host. They add to our Terms of Service. VegeBuddy (VEGEBUDDY TECHNOLOGIES, SSM 202603121374 (NS0322648-A); “we”, “us”) runs the platform. You (“the host”) run your workshops, you are the contracting party for each booking and you are the payee. Your customers book under our Workshop Terms, which these Host Terms are consistent with.

2

Eligibility and Approval

  • Workshops on VegeBuddy must be vegetarian or vegan.
  • You apply to host from the merchant portal or during merchant sign-up. VegeBuddy reviews each application and may approve or reject it. You can publish workshops only once approved.
  • VegeBuddy may suspend your listings at any time where you break these Host Terms, put customers at risk or receive repeated complaints (Sections 5 and 8).
3

Accurate Listings

  • Keep every listing accurate and up to date: what the workshop covers, the price per seat in Malaysian ringgit (MYR), the venue, the materials provided, and your cancellation and refund terms.
  • State the allergens in any food you prepare or serve, and answer customers’ allergy questions honestly.
  • You are responsible for food safety and for the safety of your venue and everyone attending, and for holding any licence or permit your workshop needs.
  • Your cancellation and refund terms are shown to customers before they book and are saved with each booking. You must honour the terms saved with a booking, even if you change them later.
4

Requests and Bookings

  • Customers send requests. A request holds seats for up to 24 hours, or until booking closes 1 hour before the session starts, whichever is sooner. Accept or decline each request before then; a request with no reply expires and its seats are released.
  • You are notified of each new request, and again shortly before a request expires.
  • A customer may hold at most 3 requests waiting for a reply at once, and a booking may hold at most 6 seats.
5

Commission

  • You pay VegeBuddy a commission of 5% of the booked total of every accepted booking whose session took place, including no-shows, rounded to the nearest sen for each booking.
  • No commission is charged on bookings that were declined, expired or cancelled before the session started.
  • No 60-day 0% welcome period applies to Workshops. The welcome period offered to new merchants applies only to VegeBuddy Food and Mart. This also applies when a Food or Mart shop adds Workshops: its workshop bookings pay 5% from the first booking.
  • Commission is charged on a monthly statement for each calendar month in Malaysia time, issued after the month ends. Each statement is due 30 days after it is issued and is paid to VegeBuddy following the payment instructions on the statement.
  • You are reminded on the due date and again 7 days after it if the statement is still unpaid.
  • If commission stays unpaid, VegeBuddy may suspend your listings after giving you notice. There is no automatic suspension.
  • Commission is never added to the price your customers pay.
6

Direct Payment and Refunds

  • Customers pay you directly, using the payment instructions you give in the portal. VegeBuddy does not collect, hold or refund workshop money.
  • You issue any receipt or invoice your customers need.
  • You pay refunds directly to your customers under the cancellation and refund terms saved with each booking, and under Section 8 when you cancel.
7

Changing Your Payment Details

  • Your contact phone and payment instructions are shown only to signed-in customers, on the review step and in their bookings. They are not shown on the public workshop page.
  • If you change them, customers who are reviewing a booking at that moment are asked to confirm the new details again. Existing bookings keep the details they agreed to and show a notice asking the customer to confirm with you before paying. You must tell your existing customers about the change yourself.
8

Cancelling an Accepted Booking or Session

  • You may cancel an accepted booking, or a whole session that has accepted bookings, before it starts. You must choose a reason from the list (host unwell, venue problem, not enough participants, schedule change or another reason) and may add a note of up to 300 characters.
  • The reason and the note are shown to the customer and reported to VegeBuddy.
  • Full refund within 14 days. When you cancel an accepted booking, you must refund in full what the customer paid for that booking within 14 days, whatever your own refund terms say.
  • Repeated host cancellations may lead to suspension.
9

Customer Data

  • For each booking you receive the customer’s name and phone number, only so that you can run that booking.
  • For that data you are an independent data user under the Personal Data Protection Act 2010 (PDPA), not VegeBuddy’s processor, and you are responsible for handling it lawfully.
  • You must not use customer data for marketing, or for anything other than running the booking.
  • Delete customer data when you no longer need it, and no later than 180 days after the workshop.
  • Inside VegeBuddy, a customer’s name and phone number are erased when the customer deletes their account, or 180 days after the workshop ends or the booking closes, whichever is later.
10

Staff Accounts and Notifications

  • If you give staff access to your workshops, you, the shop owner, are responsible for everything your staff do under these Host Terms.
  • You get an email for each new workshop request, as well as app and portal notifications. The shop owner can turn the new-request email off in the portal.
11

Changes to These Terms

This is version workshop-host-2026-10-12 of the Workshop Host Terms. The version you accepted, and when you accepted it, is recorded on your host account. When we publish a new version, we ask you to accept it in the portal to keep hosting. Material changes are announced in the portal or by email.
