Workshop Terms

Who We Are and What These Terms Cover

These Workshop Terms apply when you request or book a seat at a workshop through Workshops in the VegeBuddy app. They add to our Terms of Service. Our Refund Policy, Payment Policy and Booking Policy do not apply to Workshop bookings: payments, cancellations and refunds for workshops are governed only by these Workshop Terms and the host’s cancellation and refund terms shown when you book. If these Workshop Terms differ from the Terms of Service or any other VegeBuddy terms or policy on a Workshop booking, these Workshop Terms apply.

  • The host is the person or business that runs the workshop. It is named on the workshop page and in your booking. The host runs the workshop, it is your contracting party for the workshop, and it is the payee: every payment for the workshop goes to the host.
  • VegeBuddy (VEGEBUDDY TECHNOLOGIES, SSM 202603121374 (NS0322648-A); “we”, “us”) runs the platform. We show the host’s workshops, pass your request to the host, show you the host’s payment instructions and keep a record of your booking. We are not the organiser of the workshop and not a party to your contract with the host.
  • VegeBuddy does not collect, hold or refund workshop money. You pay the host directly. VegeBuddy charges you no booking fee.
  • Commission: the host pays VegeBuddy a commission under the Workshop Host Terms. It is never charged to you and is never added to the price you pay.
2

Who Can Book

  • Anyone can browse workshops. The person making the booking (the “lead booker”) must be 18 or older and must be signed in to a VegeBuddy account.
  • One booking can hold up to 6 seats, for you and the people you bring. Only the lead booker’s name and phone number are collected. If you book seats for other people, pass on the workshop details and these Workshop Terms to them, and for anyone under 18, make sure their parent or guardian agrees to them attending.

How Booking Works

  1. You review and send a request. On the review step you see the session, the number of seats, the price per seat and the total, the host’s cancellation and refund terms, and the host’s payment instructions and phone number. You enter a name and phone number for the booking and accept these Workshop Terms and the host’s terms. Sending a request costs nothing and does not yet create a confirmed booking.
  2. Your seats are held. While your request waits for the host’s reply, the seats are held for you for up to 24 hours, or until booking closes 1 hour before the workshop starts, whichever is sooner. You see the time in the app.
  3. The host accepts or declines. You are notified either way. If the host does not reply before the hold ends, the request expires and the seats are released.

Limits. To keep seats fair for everyone, you can have at most 3 requests waiting for a reply at once, across all workshops, and at most 6 seats per booking. You can have one open request or booking for each session.

What you agreed to is saved. The price, the host’s cancellation and refund terms, and the host’s payment instructions and phone number at the moment you send your request are saved with your booking and decide that booking. If any of them change while you are on the review step, the app shows you the new details and asks you to confirm again. If the host changes its payment instructions or phone number after you have booked, your booking shows a notice: confirm the details with the host before you pay.

4

Paying the Host

Pay only as shown in your booking in the app. Never pay an account number or QR code sent to you by message, chat, phone call, email or social media, even if it seems to come from the host or from VegeBuddy. If anyone asks you to pay elsewhere, check with the host using the phone number in your booking, and report it to us.
  • Pay only after the host accepts. Nothing is owed on a request that is waiting for a reply; once the host accepts, pay before the workshop starts as the host’s payment instructions say.
  • Where you see the payment details. The host’s payment instructions and phone number are not shown on the public workshop page or to guests. You see them after you sign in, on the review step and in your booking.
  • An accepted booking is not a payment. When the host accepts your request, it means the host has agreed to keep your seats. It does not mean the host has received any payment from you. Pay as the host’s payment instructions say.
  • VegeBuddy does not see your payment. Keep your own transfer receipt. The host issues any receipt or invoice.
  • Bank charges for your transfer, if any, are between you, your bank and the host. VegeBuddy charges you no fee.
5

If You Want to Cancel

  • You can withdraw a request, or cancel an accepted booking, in the app at any time until the workshop starts. A cancellation covers all the seats in the booking.
  • Any refund follows the host’s cancellation and refund terms that were shown when you booked and saved with your booking. The host pays any refund directly to you. VegeBuddy does not pay refunds.
  • No-shows. If you do not attend and did not cancel before the start, the host’s cancellation and refund terms decide whether you get anything back.
6

If the Host Cancels

  • The host may cancel your accepted booking, or the whole session, before the workshop starts. It must choose a reason (host unwell, venue problem, not enough participants, schedule change or another reason) and may add a note. You are notified, and your booking shows that the host cancelled it, with the reason and any note.
  • Full refund within 14 days. When the host cancels an accepted booking, the host must refund in full what you paid for that booking within 14 days, whatever its own refund terms say. Contact the host using the phone number in your booking. If you are not refunded in time, contact us (Section 7).
  • If the host declines or cancels a request it had not yet accepted, nothing should have been paid. If you paid anyway, the host owes it back to you in full.
  • Host cancellations of accepted bookings are reported to VegeBuddy. A host that cancels repeatedly may be suspended.
7

Reminders, Safety and Complaints

  • Notifications. You are notified when the host accepts or declines your request, when a request expires and when the host cancels. You also get a reminder 24 hours before the workshop starts.
  • Safety and allergies. The host is responsible for the workshop, the venue, the food and materials it uses and the safety of everyone attending. Read the workshop page and ask the host about allergens before you book. VegeBuddy does not collect allergy information for workshops.
  • Complaints. If something goes wrong, email us at support@vegebuddy.com with your booking reference (VB-CL-…). We look at both sides, use the booking records we keep and may mediate between you and the host. We may warn, suspend or remove a host that breaks our rules. We cannot pay you money the host owes, and we cannot force the host to pay.
  • Outside VegeBuddy. You can also file a claim with the Tribunal for Consumer Claims Malaysia (Tribunal Tuntutan Pengguna Malaysia). Using our complaint route does not stop you from doing so.
8

Your Personal Data

The name and phone number you enter, the seats you book and your booking history are shared with the host so that it can run your booking. How we handle this data, how long we keep it and what happens when you delete your account are explained in Section 2c of our Privacy Policy.

9

VegeBuddy's Role and Liability

  • The host is responsible for the workshop: its description, price, venue, food, materials and safety, and for paying every refund it owes. VegeBuddy is not responsible for how the host runs the workshop.
  • VegeBuddy is responsible for running the platform with reasonable care and skill: showing the host’s details as the host gave them, keeping accurate records of your requests and bookings, and handling complaints as described in these Workshop Terms.
  • Subject to the point above and the point below, the disclaimers and limitation of liability in our Terms of Service apply to Workshops.
  • Nothing in these Workshop Terms or the Terms of Service excludes or limits any right you have under the Consumer Protection Act 1999 or any other law that cannot be excluded or limited by agreement, or VegeBuddy’s liability for its own fraud or for death or personal injury caused by its own negligence.
10

Changes to These Terms

This is version workshop-terms-2026-10-12 of the Workshop Terms. The version you accepted is saved with each booking, and a booking you have already sent stays under that version. A new version applies only to requests you send after it is published. Material changes are announced in the app or by email.

11

Governing Law and Contact
